BOM revision checklist before material moves

A revised BOM can look harmless until purchasing finds the added material late, prefab builds from the wrong quantity, or the project team realizes the export had duplicate rows. A revision checklist gives the team a repeatable way to verify what changed before material moves.

Confirm both exports are comparable

Before comparing, make sure the original and revised files have the same basic identity and quantity columns. If one export has cover rows, repeated headers, or subtotal rows, clean or flag those rows first.

  • Original export and revised export are from the same workflow.
  • Part number or safe description identity is available.
  • Quantity and unit columns are mapped intentionally.

Review the four change types

Every revision-impact review should separate added material, removed material, quantity increases, and quantity decreases. Mixing them together makes downstream action harder.

  • Added material: may need quote, buy, prefab, or staging action.
  • Removed material: may need cancel, avoid, or closeout review.
  • Quantity increases: may affect budget and procurement quantity.
  • Quantity decreases: may affect orders already in progress.

Use breakdown scope when the whole project is too broad

If the export contains multiple areas, floors, ISOs, phases, or work packages, compare only the selected breakdown when the purchase or handoff is for part of the project.
